Job Description:

Position Title: Administration and Finance: Director of Administrative Services and Tax ComplianceDepartment: 6200-Administrative ServicesResponsibilities:Oversee Accounts Payable, Bursar, Accounts Receivable and
Payroll

  • Responsible for effective staff management, including hiring and orientation, training and development, workflow, and performance management
  • Develop and monitor accounting processes and systems to maintain adequate internal controls
  • Collaborate with University-wide finance leadership to continuously improve processes, policies, and procedures
  • Facilitate audit preparedness, ensure information accessibility, and collaborate with internal and external auditors to implement solutions
  • Ensure financial compliance with University policies and procedures and applicable federal and state laws and regulations
  • Oversee the Accounts Payable operation to ensure the proper processing of invoices and issuance of checks for payment and the appropriate classification of vendors to ensure accurate 1099 year-end reporting
  • Oversee the Bursar's operation to ensure student payments are correctly accounted for, third parties are correctly invoiced, and student refunds are accurate
  • Oversee the Accounts Receivable operation to ensure accurate reporting forallpast-due payments, ensure enforcement of University collection policies, including escalation to an external collection agency
  • Oversee the Payroll operation to ensure timely and accurate payments to employees, assist in the review of payments to international visitors to determine proper taxation in compliance with tax laws concerning international incomeTax Compliance Responsibilities
    • Oversee the
      University's compliance with federal and state tax withholding and
      reporting regulations on all payments made to international students,
      scholars, and visitors
    • Perform tax research
      regarding U.S. and international tax matters. Research and answer tax
      questions for faculty and staff
    • Work in
      collaboration with management to develop necessary policies, procedures,
      and reporting systems to ensure federal, state, and local tax compliance
    • Respond and
      resolve notices from the IRS, state, and local tax authorities. Represent
      the University in tax audits
    • Oversee the
      year-end reporting to the Internal Revenue Service to include 1098T,
      1042S, W-2s and 1099sReconciliation and Reporting Responsibilities
      • Review and verify open accounts receivable to include daily review of Banner reconciliation reports
      • Perform draw-downs
        of Title IV funds as directed by the Comptroller and communicate to the
        Financial Aid Department concerning the draw-downs.
      • Assist in the reconciliation of any
        differences noted between the University's financial aid records and the Department
        of Education records
      • Record the receipt
        of private loans and verify the accuracy of those student accounts
      • Record the receipt
        of property insurance claims and reconcile outstanding claims.
      • Remit sales tax collected by the University's
        various retail operations to the proper taxing authoritiesQualifications:Bachelors degree
        in Accounting, Business Administration, or related fieldFluency in federal
        and state tax accounting and regulations, including experience working
        with federal and state tax authorities.Advanced knowledge
        of GAAPMust have a minimum 5 years of progressively responsible experience in accounting and financeAdvanced
        proficiency in Excel, QuickBooks, or other accounting software
        applicationsExcellent analytical and communication skills to
        effectively present information and respond to questions from students, staff/faculty,
        customers, and the general publicCurrent Certified
        Public Accountant or equivalent professional certification or
        license preferredPrior supervisory experience preferredExperience working
